Administrative Professional


Reports to: Directing Pastor
Status: Fulltime: Onsite  
Minimum $40,000- commensurate with relevant experience

Job Summary 

Support the mission of Calvary United Methodist Church and its leaders by performing administrative functions to empower the congregation to serve its mission. 

Essential Functions: 

  • Administrative:

    • Acts as the first point of contact in the church office.

    • Manages church communications including mail, email, and voicemail.

    • Purchases and organizes resources including office supplies and communion elements.

    • Maintains church database (Church Community Builder (CCB)) for tracking, updates, and reporting related to membership and attendance. Identifies and reports any changing attendance patterns.

    • Maintains records of staff and volunteer safety training and alerts appropriate staff members when action is needed.

    • Maintains lists of volunteers for various ministries and assists with scheduling activities as needed.

    • Coordinate all aspects of baptisms, funerals, and weddings with the pastors and appropriate staff.

  • Building use:

    • Maintains the church calendar and building use agreements.

    • Processes building use requests.

    • Coordinates building needs for activities (unlocking doors, temperature control, lights, etc.).

    • Maintains accurate records in accordance with church key policy.

  • Communications:

    • Prepares documents, presentations, photos, and videos for the pastor, staff, and ministry teams.

    • Assists in preparing monthly and annual reports, agendas, and other items needed for meetings as assigned.

    • Develops, prepares, and distributes bulletins, worship materials (prayers of the people, scripture reading, etc.), social media posts, website updates, and weekly news communications according to the developed schedule.

  • Other duties as assigned


Preferred Qualifications: 

  • Advanced education or comparable work experience.

  • Ability to use time and resources efficiently and effectively.

  • Excellent computer and word processing skills. 

  • Ability to use social media tools, including accessing websites and editing photos/videos. 

Physical Requirements: 

Ability to lift up to 20 pounds and carry for 100 feet.

Attention to detail- Pays attention to details to ensure ministries are carried out with excellence. Resolves organizational issues so that the congregation can engage in ministry. Identifies mistakes and takes corrective action. Recognizes details and trends that need to be brought to the attention of the pastor and staff. 
Confidentiality- Maintains confidentiality. Recognizes and shares appropriate information with pastors and church leaders. 
Spiritual Growth- Demonstrates a commitment to grow in an ever-deepening relationship with God through active participation in worship, church community, intentional spiritual growth, and committed service. Keeps the mission of Calvary central to all activities. 
Self-Awareness- Adaptable and responsive to changing situations. Ability to tailor to the audience.
